Operations Associate
The Operations Associate is a high-agency, pivotal role responsible for driving operational excellence while building the systems that allow our business to scale. This position manages key operational workflows, executes day-to-day tasks, and proactively identifies ways to automate manual "gaps." A primary focus will be on Enablement - developing training programs for staff and clients - and Innovation - implementing AI and technology enhancements to optimize efficiency. The ideal candidate is a problem-solver who doesn't just follow a checklist but seeks to improve it, ensuring our operations stay lean and effective as we grow.
Essential Duties and Responsibilities
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Training & Enablement:
- Training & Documentation: Design and deliver comprehensive training programs and materials (SOPs) for team members and external clients to ensure platform proficiency.
- Process Optimization: Continuously identify inefficiencies in manual workflows and implement scalable, automated solutions to reduce friction.
- Maintenance: Update and maintain all training and process documentation to ensure accuracy and relevance as the business evolves.
Technology & Process Enhancement:
- AI & Automation: Research and lead the implementation of AI tools and lightweight automation to optimize customer service and operational workflows.
- Platform Quality: Assist with testing new application features and work closely with the development team to document and resolve software bugs.
- Feedback Loop: Analyze platform shortcomings and customer feedback, communicating insights clearly to the operations/technology team to drive product improvements.
Execution & Operational Support:
- Workflow Ownership: Execute and manage key day-to-day operational processes with high accuracy and timeliness.
- Customer Awareness: Provide excellent support via phone, email, and chat (~2 hours/week) to maintain a pulse on user experience and troubleshoot issues.
- Special Projects: Assist with the development and launch of new business lines and manage various operational tasks as assigned.
- Reporting: Generate various reports to meet internal and client needs.

Qualifications
- Education & Experience: 1–3 years of experience in operations, business support, or a startup environment. Bachelor’s degree preferred, OR equivalent experience demonstrating strong ownership and problem-solving.
- Experience: Direct experience in developing training materials or "how-to" content is highly preferred.
- Computer Skills: Proficient in Google Sheets/Excel; adaptable to new software; curiosity for AI and automation tools.
